Sales Capacity Planning Calculator
Enter the target revenue and quota per rep to get the reps needed.

How it is calculated
reps needed = ceil(target revenue / quota per rep) and capacity = reps needed × quota per rep. The target and the quota must cover the same period (for instance, both annual) and use the same currency. The division is always rounded up to a whole person, since you cannot hire a fraction of a rep, and the capacity shows what that headcount can produce if everyone makes full quota.
The target can be zero, which gives 0 reps. The quota must be above zero. The tool assumes every rep is fully productive for the whole period. It does not model ramp time for new hires, attrition, quota attainment below 100% or part-year starts. To allow for these, enter a quota that is already reduced or add reps afterwards.
Worked example
A company wants 5,000,000 of new revenue this year and each rep carries a quota of 650,000. 5,000,000 / 650,000 = 7.69. Rounded up, 8 reps are needed. Their combined quota is 8 × 650,000 = $5,200,000.00, so there is 200,000 of headroom above the target. With 7 reps the capacity would be only 4,550,000, which falls short.
Common mistakes
- Assuming every rep hits 100% of quota: if some reps fall short, a plan with exactly the target as capacity leaves no safety margin.
- Counting new hires at full quota in their first months: they need ramp time, so enter a reduced quota or add more reps.
- Mixing periods, such as an annual revenue target with a quarterly quota: the number of reps would be about four times too high.
- Using total company revenue as the target when the reps only sell new business: the target should be the part reps are expected to bring in.
About this calculator
This calculator performs basic sales capacity planning: divide a target revenue number by the quota assigned to a single rep to find how many reps are needed to hit that target, then shows the total revenue capacity that headcount provides — reps needed = target revenue ÷ quota per rep.
Sales leaders and revenue operations teams use this calculation when building headcount plans and budgets, since hiring lags behind ramping — new reps typically take several months to reach full productivity — so capacity planning has to look several quarters ahead of the revenue target it's meant to support.

The headcount shown assumes every rep hits full quota all year, so treat it as a floor. To plan for misses, enter a quota you expect reps to actually deliver. With a 1,000,000 target and a 150,000 quota the tool says 7 reps; at an expected 80% attainment the working quota is 120,000, and the same target needs 9. What attainment rate does your team really run at?
