SaaS Plan Cost Calculator

See your total SaaS bill across seats.

How it is calculated

The bill is a platform fee plus a charge for every user: total = base + seats × per-seat price. Base is the fixed platform charge in dollars, seats is the number of paid users, and per-seat price is the dollar price of one seat. All three must use the same billing period, so if you enter monthly prices the total is monthly, and with annual prices it is annual. The result also shows the seat charge on its own (seats × per-seat price). Seats must be a whole number, because a fractional seat cannot be bought; 12.5 gives no result, and neither do negative or empty values. Zero seats returns just the base fee. Despite the word tiered in the page name, the tool uses one flat per-seat price for every seat; it has no volume discounts or included seats, so a plan that cuts the price after 10 users or bundles some seats must be worked out in separate parts.

Worked example

A project tool charges a $49 platform fee and $15 per seat, and your team has 12 users. Seat charge: 12 × 15 = $180.00. Add the platform fee: 49 + 180 = $229.00. That is about $19.08 per user, higher than the $15 headline price because the base fee is spread over the team. Going from 12 to 20 seats would raise the bill to 49 + 300 = $349.00.

Common mistakes

  • Mixing billing periods, such as a monthly base price with a yearly per-seat price. The total is only meaningful if every price covers the same period.
  • Entering the advertised per-seat price when the vendor quotes it on annual billing only. Use the price that matches how you will actually pay.
  • Ignoring included seats. If the base plan already covers five users, enter only the extra users as seats, not the whole team.
  • Counting only the people who use the tool daily. Vendors usually bill for every account, including occasional users and admins, so count paid seats.
  • Entering a fractional seat count, such as 12.5 for a part-time user. Seats must be whole numbers, so round up to the number you will be billed for.

About this calculator

Most B2B software is priced with a base fee plus per-seat pricing model: a flat monthly or annual charge covers the platform itself, and then each additional user or "seat" adds a fixed amount on top. Tools like project-management, CRM, and collaboration software commonly price this way, because it lets a small team pay a low entry price while letting the vendor capture more revenue as a customer's team grows.

This structure makes total cost easy to underestimate — a plan that looks affordable at five users can double or triple in cost once a team scales to twenty or fifty.
