Per-Seat Pricing Calculator

Total your per-seat SaaS cost with an optional discount.

How it is calculated

The tool treats the price as a monthly price per seat. Monthly = S × P × (1 − D / 100) and Annual = Monthly × 12. S is the number of seats, P is the list price per seat per month and D is the discount in percent. The effective price per seat is Monthly / S, or $0.00 when there are no seats. The discount is optional: an empty field means 0%. It is one flat percentage applied to every seat, not a tier where only seats above a threshold get cheaper. Discount must be between 0 and 100. Seats must be a whole number (0 or more) and price cannot be negative; a fractional seat count such as 40.5 gives no result. Amounts show in US dollars. Annual-billing prices from the vendor should be divided by 12 before you enter them.

Worked example

A team needs 40 seats at a list price of $15 per seat per month, and the vendor gives 10% off. List total: 40 × 15 = $600. Discount factor: 1 − 0.10 = 0.90. Monthly total: 600 × 0.90 = $540.00. Annual total: 540 × 12 = $6,480.00. The effective price per seat is 540 / 40 = $13.50. Without the discount the annual cost would be $7,200.00, so the discount saves $720.00 a year.

Common mistakes

  • Entering an annual price per seat. The tool multiplies by 12 for the yearly total, so an annual price typed in the price field makes the annual total twelve times too high.
  • Entering the discount as a fraction (0.10). The field is a percentage, so 0.10 means 0.10% and gives $599.40 instead of $540.00.
  • Assuming a volume discount only applies to extra seats. This tool takes the percentage off all seats, so a tiered price list needs a blended effective percentage.
  • Forgetting minimum seat counts or setup fees from the vendor quote. They are not part of the calculation.
  • Entering a part-seat such as 40.5 for a shared or part-time user. Seats must be whole numbers, so the tool shows nothing; round to the number of seats the vendor will actually bill.

About this calculator

Per-seat pricing is the standard SaaS billing model where a company pays based on the number of users (seats) with access to the software, rather than a flat fee regardless of team size. Total cost = number of seats × price per seat, though many vendors offer a volume discount that lowers the per-seat rate once the seat count crosses a threshold, which changes the total in a way that isn't obvious from the sticker price alone.

This calculator totals your SaaS cost by seat count, applies any volume discount you specify, and shows both the monthly and yearly totals side by side. It's a practical tool for buyers evaluating a vendor's pricing page, comparing quotes across multiple SaaS tools, or forecasting how software costs will scale as a team grows and crosses into a cheaper per-seat tier.
