Billable Utilization Calculator
See what share of your hours are billable
Result
How it is calculated
The tool divides billable hours by total hours and shows the result as a percentage: utilization = billable hours / total hours × 100. Both values are in hours for the same period (a week, a month) and the same person or team. Total hours must be above zero, otherwise no result appears. The tool does not cap the answer at 100%, so billable hours larger than the total give a figure above 100% (45 billable of 40 total shows 112.50%), which usually points to a data entry slip or to overtime measured against a standard week. The result has two decimals.
Worked example
A consultant bills 28 hours in a week with a 40-hour standard week. Step 1: 28 / 40 = 0.7. Step 2: 0.7 × 100 = 70. The tool shows a billable utilization of 70.00%. The remaining 12 hours went to non-billable work such as admin, internal meetings or training.
Common mistakes
- Mixing denominators: dividing by hours actually worked in one report and by the 40-hour standard in another makes people unfairly comparable.
- Counting all logged hours as billable; hours written off or not invoiced should be left out of the billable figure.
- Entering billable time in days or minutes while total is in hours.
- Comparing a one-week figure against a monthly one; periods for both inputs must match.
- Expecting the result to stay under 100%; if it does not, check the inputs rather than the tool.
About this calculator
Billable utilization is the share of total available hours that were spent on billable client work: utilization = billable hours ÷ total hours × 100, where total hours can mean actual hours worked, or a standard capacity like a 40-hour week, depending on what the metric is meant to answer. The two definitions matter — utilization against actual worked hours measures how well available time was used, while utilization against standard capacity also captures unpaid overtime or underused capacity.
Professional services firms — law firms, consultancies, agencies, and accounting practices — track billable utilization per employee and per team as a core productivity and staffing metric, since it directly drives revenue in time-and-materials or hourly billing models. Resource managers use it to spot over- or under-staffed teams, and partners or practice leads use aggregate utilization trends to price engagements and plan hiring.

Turn the percentage into a weekly target by working backwards: a 75% goal on a 40-hour week means 30 billable hours, which leaves 10 for admin, meetings and training. One week can swing a lot with holidays and proposals, so it often helps to enter four or more weeks of hours together instead of judging a single week. Do you measure against actual hours or standard capacity?
