Wedding Seating Chart Calculator
Enter your guest count and seats per table to plan your wedding seating.

How it is calculated
The tool assumes every table has the same number of seats. Tables needed: tables = ceil(guests / seats), where ceil rounds up to the next whole number, because a partly filled table still has to be set. Total capacity is tables × seats, and empty seats are capacity − guests. Both inputs must be above zero, otherwise there is no result, and results are shown as whole numbers, so enter whole guest and seat counts.
Everything is counted as a single guest list: the tool does not set aside a head table, a kids' table or a different table shape, and it does not add seats for the couple, vendors or staff unless you include them in the guest count. For mixed table sizes, run the calculator once per size.
Worked example
Your guest list is 137 people and you plan round tables of 10. Division: 137 / 10 = 13.7, which rounds up to 14 tables. Capacity: 14 × 10 = 140 seats. Empty seats: 140 − 137 = 3. The tool shows 14 tables, 140 seats and 3 empty seats. With exactly 130 guests the result would be 13 tables and no empty seats.
Common mistakes
- Forgetting to count the couple, the wedding party and any plus-ones in the guest count. Each of them needs a seat, so 137 invited guests plus the two of you is 139.
- Rounding the table count down. 13.7 tables is 14, because 13 tables seat only 130 people.
- Using the maximum a venue's table can hold as the seats you actually want to use. A table that technically fits 12 may be comfortable for 10, and the tool uses the number you type.
- Entering the number of tables you already have in the seats field. The second field is seats per single table, not the total number of tables or chairs.
- Ignoring special tables. A sweetheart table or a separate kids' table changes the count, so subtract those guests first or calculate them separately.
About this calculator
Planning wedding seating starts with a simple division problem: guest count divided by seats per table, rounded up to the next whole table, since you can't book a fraction of a table. This calculator also reports the resulting total capacity (tables × seats per table) and the number of empty seats left over once every guest has a place — the gap between capacity and headcount.
That empty-seat count matters beyond arithmetic: caterers and venues often price per place setting or per table regardless of whether every seat is filled, so knowing exactly how many empty seats a given table count creates helps couples decide whether to consolidate to fewer, fuller tables, add a sweetheart or kids' table, or simply budget for the unavoidable overage.

Small changes in table size can remove a whole table. For 150 guests, 8 seats per table needs 19 tables with 2 empty seats, while 10 seats per table needs exactly 15 with none empty. Empty seats are rarely spread evenly in practice, so a few spare chairs are easier than redoing the plan. How do you handle the head table and the kids' table?
