How it is calculated
The estimate has a fixed part and a part that grows with time: ice_lb = guests × (1 + 0.25 × hours). In other words every guest gets 1 lb as a base amount (the first fill of cups, coolers and chilling drinks), plus 0.25 lb for each hour the party runs, to cover melting and refills. guests is the number of people and hours is the length of the event. The weight is then divided by 10 and rounded up to whole 10 lb bags: bags = ceil(ice_lb ÷ 10). Both inputs must be above zero. The weights are shown in whole pounds. It is a rough rule that does not account for weather, bulk drink chilling in tubs, or how well your coolers are insulated.
Worked example
25 guests and a 3-hour party. Step 1: per-guest factor = 1 + 0.25 × 3 = 1.75 lb. Step 2: total ice = 25 × 1.75 = 43.75, shown as 44 lb. Step 3: bags = 43.75 ÷ 10 = 4.375, rounded up to 5 bags. Buying five 10 lb bags gives 50 lb, a margin of a little over 6 lb, which helps if the day is warm. The tool also echoes 25 guests as part of the result.
Common mistakes
- Expecting the ice to scale only with the hours. A large part of it is the one-off 1 lb per guest, so a 2-hour party needs much more than half of a 4-hour one.
- Entering the invitation list instead of the expected attendance, or forgetting that some guests bring a plus one.
- Not rounding up to a whole bag when buying. The tool already does this, so do not buy by the pound figure alone.
- Ignoring the weather. In hot outdoor conditions ice melts faster than this average rule assumes, so order extra bags.
- Using this for a bar that chills lots of bottles or cans in tubs. That ice is on top of the drink ice, so add it separately.
About this calculator
Caterers and event planners use a rule of thumb of roughly 1 pound of ice per guest, plus another 0.25 pound per guest for each hour of the event, covering ice for drinks (cups and coolers) plus ice used to chill bottles, buckets and display trays — the total then gets rounded up into however many 10 lb bags are needed, since that is the standard retail bag size at most grocery and convenience stores.
Longer events, hot outdoor weather, or heavy use of iced buckets for wine and beer are good reasons to buy a few bags beyond the estimate, while a short indoor gathering can stay close to it. Running out of ice mid-party is one of the most common (and easily avoided) catering mistakes, so this calculator takes your guest count and event length in hours and returns the estimated pounds of ice and number of 10 lb bags to buy.

Bags are counted at 10 lb each and always rounded up, so the pound figure is the better number to shop with. If your store sells 20 lb bags, divide it yourself: the default 30 guests for 4 hours needs 60 lb, which is three of those. Ice also melts faster in a hot garden than in a cool hall, so what temperature are you planning around?
