Mileage Reimbursement Calculator
Work out your mileage reimbursement.
Result
How it is calculated
The calculation is a single product: reimbursement = miles × rate_per_mile. Miles is the business distance driven and the rate is the amount paid per mile, in the currency shown. The tool does not know any official rate, you must enter the one your employer, client or tax authority uses, and such rates change over time and differ by country. The multiplication uses your exact inputs; only the echoed lines are rounded for display (the miles line to a whole number, the rate to two decimals), so 12.6 miles at 0.725 gives $9.14 while the echo reads 13 mi and $0.73. If your rate is per kilometre, enter kilometres in the same field: the label says mi but the maths is identical. Both inputs must be zero or more.
Worked example
A sales rep drove 420 business miles in a month and the company pays $0.70 per mile. Reimbursement: 420 × 0.70 = $294.00. If the same rep also drove 80 miles to work and back as an ordinary commute, those do not belong in the 420: most reimbursement policies only cover business trips, not travel between home and the regular workplace.
Common mistakes
- Counting the daily commute between home and the regular workplace as business miles; many policies and tax rules exclude it.
- Entering kilometres while using a per-mile rate, or the reverse, which changes the result by about 60%.
- Typing the rate in cents: 70 instead of 0.70 inflates the total a hundredfold.
- Using last year's published rate; official standard rates are updated and your employer's own rate may differ from them.
- Rounding the rate or the miles before entering them, which can shift the total by a few cents or dollars on long trips.
About this calculator
Mileage reimbursement pays back an employee or contractor for using a personal vehicle for business purposes, calculated simply as miles driven multiplied by a per-mile rate. Organizations set their own reimbursement rate, often referencing a published standard rate (like the IRS standard mileage rate in the U.S., which is set annually and intended to cover gas, maintenance, insurance, and depreciation combined) — but many employers, and international organizations especially, set their own internal rate instead.
Employers use it to reimburse sales reps, delivery drivers, home-care workers, and other employees who drive for work without owning a company vehicle, and freelancers/contractors use the same calculation to bill clients for business travel by car. Because standard mileage rates change from year to year, it's worth confirming your organization's or country's current rate before applying it.
Miles driven and your per-mile rate go in; the total reimbursement owed comes out.
